QuickBooks makes it easy to record transactions and just as easy to record them wrong. Bank feeds import duplicates, rules misfire, and reconciled months get edited later. Here's how to tell whether your file needs a cleanup and how a cleanup works.

Signs your QuickBooks file needs work

  • The bank balance in QuickBooks doesn't match your bank statement.
  • Hundreds of transactions sit in Uncategorized Income, Uncategorized Expense or Ask My Accountant.
  • Undeposited Funds has a balance that keeps growing.
  • Opening Balance Equity shows a large number nobody can explain.
  • Revenue looks higher than it should because deposits and invoices were both recorded.
  • Accounts receivable or payable show old or negative balances.

Step 1: Back up and take stock

Before changing anything, export key reports (Balance Sheet, P&L, General Ledger) as of today. Make a list of every bank, card and loan account and gather the statements for the periods involved.

Step 2: Fix the chart of accounts

Merge duplicate accounts, make inactive the ones nobody uses, and make sure each account maps to a line on your tax return. A clean chart of accounts makes every later step easier.

Step 3: Reconcile, month by month

Start with the oldest unreconciled month. For each account, compare every transaction to the statement. Remove duplicates, add missing transactions and correct wrong amounts until the difference is zero. Don't force a reconciliation by entering a plug adjustment; find the actual cause. Our guide to reconciling bank accounts in QuickBooks Online walks through it.

Step 4: Clear the problem accounts

  • Undeposited Funds: match each payment received to the bank deposit it was part of.
  • Uncategorized accounts: categorize every transaction.
  • Opening Balance Equity: close it out to owner's equity once opening balances are verified.
  • Receivables and payables: apply payments to the right invoices and bills; write off what will never be collected, with your accountant's agreement.

Step 5: Review and lock

Review the P&L and Balance Sheet for each period you corrected, and keep a log of significant corrections for your tax preparer. Then set a closing date so corrected months can't be changed by accident.

Do it yourself or hand it off?

A few months of a simple file is a reasonable DIY project if you're comfortable with reconciliations. Many months, multiple accounts or a file nobody understands is a job for a professional. Our QuickBooks cleanup is priced per month of books ($120, $220, $340), starts with a free assessment, and ends with a correction log. Once you're clean, monthly bookkeeping keeps it that way.
